Ready to Outsource but don’t know where to start?

The hardest part for most of my clients is, how to delegate tasks to somebody? And what do I keep?

STEP 1 Keep Track of your Daily Tasks for 3 Days

This is the process I use with clients. Take out your planner, I recommend using the Full Focus planner, or a notebook, something to keep close by all day, and start writing down everything that you do in a day as you do it. It doesn’t matter if it’s checking your email five times, or you’re writing a blog post or adding new products to your inventory, bookkeeping, checking business email and social inboxes. No matter how small, write it down.

STEP 2 Ask Yourself These Questions

  • What is your specialty? The thing that got you into business.

  • What is your Zone of Genius? Where do you shine and do your best work?

  • What do you like best?

  • What do you like the least?

  • What tasks take too much of your time?

  • What tasks are you not good at?

  • What processes do you have documented?


STEP 3 Assess What Tasks Go First

After the three days of documenting what you do, and asking yourself the questions above, let’s take your list of tasks and start organizing them.

Think about the things that need YOU.

Start sorting these tasks (highlight or put them on another page in two columns You and Outsource. Anything that does not need YOU (your zone of genius), anything you do not love or that takes too much of your time, add it to the Outsource list. Make sure that the You list is not too long — keep it reasonable —  be honest, does it REALLY need to be done by you?

The Outsource list is now a list of tasks you will begin to hand off to team members or help you hire your first team member.

I haven’t handed off all the tasks I possibly can, it’s a process. So I keep my list in  ASANA I have an outsourced tab, in my company guidebook, which you’ve probably seen in How I organize my business in Asana. Don’t feel bad If this list is like 5 miles long, it’s about handing it off as you can.

If you are keeping up with your company guidebook as we talk about in this video and building processes and procedures for every step of the way, it’s going to be that much easier to outsource tasks and processes to team members or a virtual assistant when you have step-by-step instructions for them to do the tasks.
